The following describes each of the key committees within our league. Every member/position is a volunteer. The success of our organization depends on all the great parents and sports enthusiast and their willing to volunteer. Committees:
Events & Marketing
This committee organizes and directs the three major events WVPW puts on each year. The mission of this committee is to maximize the revenue potential these events provide for the League. To facilitate this mission, this committee must create a written proposal for each event that includes the following: a goal for the event, a budget, expected attendance, required volunteers, and a timetable to insure a successful event. This proposal is to be presented to the Executive Committee for final ratification. Upon ratification, this committee is to post all meeting agendas and completion of each event, the Chair of this committee will present a recap of the event along with results to the Executive Committee.

This committee will be led by the Events & Marketing Chair
Finance & Sponsorship Committee
This committee has 3 major responsibilities. Tracking and reporting of all financial aspects of the League, seeking out and writing all grant requests for funds from other charitable organizations, and procuring Corporate Sponsorship funds from supporting businesses within the community. The following are the requirements of each of the responsibilities of this committee:
This committee will provide a written proposal including goals for each of the responsibilities, a League budget, as well as quarterly updates to the Executive Committee. This committee will post all meeting agendas and minutes under the appropriate forum heading for Executive Committee review.
This committee will be led by the League Treasurer
Coaching & Sportsmanship Committee
This committee has 2 significant areas of responsibility. Each will be addressed individually.
Coaching:
The coaching aspect of this committee’s responsibility revolves around attracting and developing the best quality coaches possible. This committee will maintain a Coaching Coordinator that will deal specifically with all coaches from Jr PeeWee to Senior, and a Tiny Mite/Mitey Mite Coordinator that will deal specifically with all coaches from Tiny Mite and Mitey Mite. This committee must work with Area Reps to define the criteria by which it will accept a coach into the League, process background checks, provide on-going training to help coaches provide the best experience, and maintain disciplinary files on all coaches. This committee will facilitate the annual coaching survey and appropriately maintain records of the results. This committee will provide a written proposal including goals, budget, and coach training/discipline to the Executive Committee. This committee will post all meeting agendas and minutes under the appropriate forum heading for Executive Committee review.
Sportsmanship:
The sportsmanship aspect of this committee’s responsibility revolves around resolving all grievances against the League, whether they are against other players/families, Coaches, Area Reps, or members of the Board. This committee will maintain a record of all complaints and grievances against any of the above stated people. This committee will include in its annual proposal on coaching, ways to resolve or alleviate any of the recurring issues within the League pertaining to ethics and sportsmanship. All ongoing information from this portion of the committee should be contained in the meeting agendas and minutes posted for Executive Committee review.

Registration Committee
This committee is responsible for finding efficient ways to gather, process, and maintain player registration information as well as collect all player registration fees. This committee is responsible for maintaining data integrity within the LeagueOne system, providing team formation, and facilitating the WVPW office location. This committee will maintain demographic information pertaining to player numbers in all divisions as well as the total number of participants year-over-year. This committee will provide a written proposal including goals, budget, and a specific timeline for the registration process to the Executive Committee. This committee will post all meeting agendas and minutes under the appropriate forum heading for Executive Committee review.
This committee will be led by the Registration Chair, and its membership will be comprised of a geographical representation of the League footprint.
Area Rep Committee
This committee has the responsibility of positively communicating League information to all participants in their High School Area, developing strong relationships between the League and the Coaching staff of their particular High School Area, and recruiting players from their particular High School Area to fill teams and expand participation. The members of this committee are the first resource for coaches and players families to find information regarding teams, coaches, and practices within their High School Area. They are also the first resource for complaints and grievances. This committee will work with the Registration Committee on team splits, and with the Coaching & Sportsmanship Committee to provide the best possible coaches for their High School Area. Each member of this committee has a specific interest in development of the League within their specific High School Area. This committee will provide a written proposal including goals, budget, and specific actionable items to the Executive Committee. This committee will post all meeting agendas and minutes under the appropriate forum heading for Executive Committee review.
This committee will be led by the Area Rep Director and this committee will be comprised of membership representing each of the High School Areas served by the League.

Equipment & Storage Committee
This committee has the responsibility of maintaining the League’s equipment, and providing optimal storage for the best accessibility in each geographical area of the League. In order to fulfill this responsibility, this committee will do the following.
This committee will provide a written proposal including goals, budget, and actionable items to be completed within the forthcoming season. This committee will post all meeting agendas and minutes under the appropriate forum heading for Executive Committee review.
This committee will be led by the Equipment and Storage Chair
Football Operations Committee
This committee is responsible for the operations of the WVPW tackle football program. This committee will have a Field Coordinator, a Team Manager Coordinator, a Scheduling Coordinator, an Officials Coordinator, and the TM/MM Coordinator. This committee will be responsible for development and implementation of the National Pop Warner rules as well as the Standard Operating Procedures for the WVPWFL.
Field Coordinator: This person will attend all field related meeting and advocate for the League to gain the best possible time slots and locations to facilitate all areas with sufficient field space for games. This person is also in charge of making sure there are sufficient practice locations for all teams, and to communicate with the League’s mobile restroom vendor to provide restroom facilities to the field locations.
Officials Coordinator: This person will work with Lane County Football Officials Association to insure that there are sufficient officials assigned to all WVPW games, and to maintain open communication regarding how the officials are being treated as well as what they are seeing within the League. This person will also work with the TM/MM Coordinator to find officials for this level of play.
Team Manager Coordinator: This person will be responsible for development and communication of the necessary items for the Team Book. This person will work with all Team Managers to insure that they have all the correct information regarding the rules for the Team Book, and certify each book prior to the Jamboree. This person will maintain communication with the Team Managers throughout the season to provide valuable information regarding rules and process.
Scheduling Coordinator: This person is responsible for developing the Jamboree and Season schedules.
TM/MM Coordinator: Described in Coaching/Sportsmanship Committee.
This committee will provide a written proposal including goals, budget, and actionable items to be completed during the season. This committee will post all meeting agendas and minutes under the appropriate forum heading for Executive Committee review.
This committee will be led by the President of the League
Meetings Committee
This committee is responsible for the overall meeting process for the Board of Directors meetings. This committee will prepare the agenda through solicitation of topics from the Chair’s of each committee. This committee will maintain the minutes of each Board meeting and post under appropriate forum heading. This committee will find a suitable location to facilitate the Board meetings, setup the meeting location to produce the most efficient process, communicate with the meeting location for any additional items that might be necessary for the a Board meeting (meals, dry erase boards, copies, etc.). This committee is also charged with keeping order during the Board meeting, and maintaining the timeline to keep the meeting on schedule through a Sergeant at Arms. This committee will also be responsible for developing the Annual Executive Committee Offsite meeting. The committee will find a suitable location, and develop the agenda, travel plans, lodging, meals, etc. This committee will provide a written proposal including goals, budget, and actionable items to be completed during the upcoming WVPW year. This committee will post all meeting agendas and minutes under the appropriate forum heading for Executive Committee review.
This committee will be led by the Secretary of the League
Communications Committee
This committee has the responsibility to develop and maintain the League’s website and constantly seek to improve the level of communication between the Board, and the player’s families. This committee will facilitate the electronic repository of all communications, agendas, and meeting minutes. This committee will provide a written proposal including goals, budget, and actionable items to be completed within the WVPW year. This committee will post all meeting agendas and minutes under the appropriate forum heading for Executive Committee review.
This committee will be led by the Communications chair of the League
Executive Committee
This committee contains the Chairs of all the previous committees, as well as 2 Members at Large. This committee will be responsible for developing the 3 to 5 year goals for the League, and developing a growth plan for the League. This committee is to review all meetings of each committee to insure that they are on task to meet the goals and objectives put forth in their annual proposals. This committee will participate in an annual offsite meeting to discuss and set policy changes for the upcoming season. This committee will have the final vote on ALL League related issues and maintains veto power, by majority vote, over all proposals and actions by all committees.
